QBO Cleanup Specialist

About the Role

Vance & Cole frequently onboards CPA firms whose clients have years of neglected, misclassified, or incomplete bookkeeping in QuickBooks Online. As a QBO Cleanup Specialist, you are the surgeon who restores order - methodically untangling messy books, reconciling bank feeds, reclassifying transactions, and rebuilding chart of accounts structures until the financials are audit-ready. This is a detail-intensive, problem-solving role perfect for accountants who love turning chaos into clean numbers.

Key Responsibilities

• Analyze and diagnose historical bookkeeping issues in QuickBooks Online files spanning 1-5 years of neglected data.
• Reconcile all bank and credit card accounts, resolving discrepancies, duplicate entries, and uncleared transactions.
• Reclassify incorrectly categorized transactions using the correct Chart of Accounts structure per US GAAP for SMBs.
• Rebuild or restructure Chart of Accounts, customer/vendor lists, and class/location tracking as needed.
• Prepare cleanup completion reports documenting all changes, remaining items, and recommended ongoing procedures for the CPA firm.
• Process 3-5 cleanup projects simultaneously while meeting firm-mandated deadlines and quality benchmarks.

Minimum Qualifications

• 3+ years of hands-on QuickBooks Online experience, with at least 1 year focused specifically on cleanups or catch-up bookkeeping.
• QBO ProAdvisor certification (required) or demonstrated equivalent competency.
• Strong understanding of US GAAP for small business - revenue recognition, accrual vs. cash basis, and payroll liability accounting.
• Experience with bank feed reconciliation, uncategorized transactions, and QBO reclassification tools.
• Methodical problem-solving skills - you enjoy detective work and can trace discrepancies across multiple periods.
• Available for US shift hours from our secure Cebu IT Park facility. Familiarity with Xero cleanup is a bonus.
